Work Assignments

Informed Management Cleaning Software™ allows you to create a work assignment in about the time it takes you to read this paragraph. First you create work assignment names for each employee. Then, with just a few mouse-clicks, select a building, or a floor, and assign all the rooms. Or, you can assign rooms one at a time by type (office, corridor, etc.) and a read-out on the window tells you how much time it takes to do the assignment each time you make a change. It’s as easy as that. In the readout shown to the right, the assignment takes 7 hours and 25 minutes to complete. The daily productive minutes settings for the user are 420 minutes, so the actual time just exceeds it. We believe we have one of the best and fastest systems to create work assignments in the cleaning software world.

Control panel buttons allow you to add a new work assignment on-the-fly, as well as allowing you to change the employee currently assigned. A number of reports are available, including detailed reports your custodians can use as a schedule—to summary reports for management.

If you wish to use our cleaning software inspection tools, work assignments can be assigned to supervisory areas. These are then used to show quality in terms of supervisory area, as well as for individuals. Custodians can then be helped with standard training as needed.

One of the most powerful aspects of using Informed Management Cleaning Software™ to create work assignments is that the software applies the same time standards to like areas and automatically takes care of difficult calculations such as the time associated with differing item densities.

Our work assignment functions include:

Blanket Work Order: This function allows one to add any number of "additional" tasks to a work assignment. These tasks can be set to any amount of time, have any frequency and have their own, independent, inspection criteria.

On-the-fly Changing of Assignment Employee: The system tracks the currently assignment employee and the assignment can be changed instantly.

On-the-fly Work Assignment Creation: Informed cleaning software allows creation of named work assignments quickly, either in the a separate window where all work assignments are controlled, or right from within the routine work assignment "builder" windows.

Mass-Change Area Types: A work assignment is a collection of rooms to be cleaned and we offer a very simple and quick way to create and modify work assignments, for both routine and project work. Recently, we added a function to add any additional work needed to an assignment for non-cleaning or any other type of task.

Project Work: Project work is assigned by the task (strip floor, for example) and the system can record completion date and remind the operator when the project is next due.

Reports: We offer a large number of reports - some of them are the work assignments themselves in various forms (check-sheet, detailed, summary) and some of the reports are for management.

This section of the software will let you build balanced cleaning work assignments. Create/Edit Work Assignments This choice on the Work Assignments menu allows you to work with existing work assignments and create new ones. Work assignments are classified as either routine or project work. There are three steps to building a work assignment.

1. Create records of employees as needed to associate with work assignments. If desired, a "generic" employee can be created to represent employees and this may be the best approach if turnover is high. However, if the software is used for performing inspections keep in mind that a record of the employee associated is maintained. At any time, the associated employee may be changed.

2. Create named work assignments that will be populated with work in the next step. Work assignments are designated as either one of the three routine shifts, or project work and this cannot be changed as long as rooms are associated with the assignment.

3. Build the assignment – which is done a little differently depending on whether it is a routine or project work type of assignment:

a. Routine work assignments are built by adding rooms to it and the assumption that all routine work is performed.

b. Project work assignments are built by selecting specific tasks and then adding rooms with the assumption being that only the selected tasks are performed.
